OAK HILL COMMUNITY COUNCIL STEERING COMMITTEE MINUTES:

4/9/07:

Present: Victoria Wilson-Charles, Donna Batson, Ronnie Connell, Brenda Bair, David Grimes, Robin Phillips, Tammy Johnson, Wade Peterson.

Committee Reports:

Wade: He has 23 volunteers lined up for the track meet on the 17th, which should be enough. He will email them tomorrow to remind them, and hold a Q&A session on Friday to go over everything. The track meet will be on a Tuesday. The prom committee & the booster club will sell concessions. The concessions have to be packaged in order to sell them. The volleyball schedule for next year is being finalized.

Faculty Appreciation: David Grimes (for Kyna) came to discuss and get guidance for Teacher Appreciation Day on May 4, which will be between 11:30-12:30. This is a good opportunity for parent volunteers to help out with set-up, decoration, bringing food, and clean-up. More details will be forthcoming as plans progress. $200 towards the food will be donated from the Pizza Committee. Previous years’ events were given as examples of how the event is typically run.

Auction (Robin Phillips): The auction is this Saturday. 11 tables have been filled, which is a typical number. The gym will be cleaned on Thursday so that the tent can be erected.

Pizza (Julie Boffing): Over $2,000 is due from students for pizza. Pizza invoices were not sent out in February & March. They will be sent out with the Friday folders this week, and high school students will receive a printed statement from their advisors to take home to their parents. Julie will also talk to Bill Goldsmith regarding sending them out with the general OHS bills.

Prom (Janet Gerard): Prom is going well. She & students will help out at the Rummage Sale as well as sell concessions at the track meet in order to earn monies to fund the prom.

Rummage Sale (Brenda Bair): The sale is the last weekend of April. Set up with sorting and pricing is on the 26th. We need to put a notice in the Greengram for help (this is another excellent opportunity for volunteer hours!) We need about 10-15 volunteers for 3 hour shifts on Friday and Saturday the 27th & 28th. The shifts will be: 7:30-10:30; 10:30-1:30; 1:30-4:30. The sale will actually run 8-4 on both days. We have picked up some furniture. Tammy will begin advertising this week. There was some discussion on how monies are allocated and spent. The prom committee is counting on some of this money, and some of the money is earmarked for student scholarships. Per Tammy, all the money goes into the general fund, and any money not spent this year does not roll over into the next year’s special allocations. Basically, if prom, for example, does not use all of its allocation this year, it does not get to carry any excess amounts over to use next year.

Development (Tammy Johnson): The Annual Appeal is below $80,000. The next board meeting will be a phonathon on the 22nd. 53% of OHS families have contributed. We need to gross $57,000 from the auction and net $40,000 to reach our goal. Last year we grossed $52,000 and netted $39,000. This year our KLCC drive has brought in only $800. Last year it brought in $2,000. Carrie will run information re. it again in the Greengram and put it in the Friday folders. Escrip is only at $1,000, but the program is about 4 months behind in crediting accounts, so we should be getting more in.

Planning surveys have been sent out regarding capital projects and a possible capital campaign. They have been mailed and are also available online. Input is being sought from current & former board members, OHS families, potential donors, etc. Although they were very recently sent out, Tammy has already received some responses.
